GCRA Policy - Registration Fee Payment and Refund Policy

Registration Fee Payment and Refund Policy - Approved by a motion of the GCRA Executive April 6, 2005

Gloucester-Cumberland Ringette Association (GCRA)
Registration Fee Payment and Refund Policy

Preamble

Members of the Gloucester-Cumberland Ringette Association (GCRA) are responsible for the payment of player registration fees in accordance with the schedule of fees stipulated at the time of registration. Every player must be registered prior to stepping on the ice for safety reasons. Should an incident occur during tryouts and throughout the season, the insurance purchased through the Ontario Ringette Association (ORA) protects the player and Association.

Reporting

A full financial accounting will be compiled by the Treasurer and presented at an Executive meeting no later than December 1st of each season. This summary will serve as a basis for calculating GST payments which the Association is obligated to pay for any player 16 years of age and older.

Payment

Registration fees can be made in cash or by cheque payable to the GCRA.

All NSF cheques will be subject to an additional fee in accordance with the schedule of fees stipulated at the time of registration.

All players registering at the competitive level are subject to a tryout fee in addition to the appropriate registration fee corresponding with their level.

Any out of area player trying out with a competitive team must pay the tryout fee before stepping on the ice. If this player makes the team, they will then be subject to paying the appropriate registration fee corresponding with their level.

It is preferable that registration fees be paid in full upon registration. The date for payment will be established prior to the start of each season through the registration package. Those unable to provide payment in full by the established deadline, can provide payment in installments as outlined below:

  •    Upon registration, 50% of registration fee to be paid in full.
  •    Prior to September 30th, additional 25% of registration fee to be paid in full.
  •    Prior to October 30th, final 25% of registration fee to be paid in full.

Late registrations will be calculated based on the total registration fee divided by the number of remaining months (October to February) and other applicable fees.

Any exceptions to this policy will be dealt with by the Executive on a case by case basis.

Refund

If a player withdraws before using any ice time, a full refund will be issued by GCRA.

If a player withdraws during or after evaluations/tryouts but before regular season activities begins, an administration fee of $40.00 will be deducted from their refund.

If a player withdraws prior to November 15th, an administration fee of $40.00 and 1/3 of the remainder of the registration fee will be deducted from their refund.

If a player withdraws after November 15th, no refund will be issued.

Whenever GST applies, refunds will be adjusted accordingly.

Refunds for players withdrawing for medical reasons will be dealt with on a case by case basis.
